  1. Eligible lunch/dinner costs for speakers, visitors, and candidates

  1. SEMINAR SPEAKERS

*****Lunch **

  • SESYNC will cover the cost of the speaker’s meal plus up to 2 SESYNC employees . This can be carry out from downstairs or out to a restaurant.

    OR

  • SESYNC will order ONE pizza in-house for the visitor, host and a couple of additional interested researchers. If there is a larger turnout for those interested to engage with the speaker over lunch, please plan on brown-bagging it.

***Dinner **

  • Must have prior approval before the arrival of the speaker .
  • Speaker should be in travel status .
  • SESYNC will cover the cost of the visitor’s meal plus up to two SESYNC employees

* SESYNC will cover the cost of the candidate’s meal plus up to two SESYNC employees that are part of the candidate’s interview process .

# SPECIAL VISITORS

Need to be evaluated on a case by case basis, see Margaret/Liz/Jon

A couple of notes/things to be mindful of:

** Alcohol is never covered, and needs to be paid out of pocket on a separate check

* Total meal costs per person should be very close to the per diem costs, or under (\$11 lunch/\$25 dinner). Please use good judgement, no steak or lobster dinners, and please keep the beverages limited to coffee, water, tea, sodas (no specialty smoothies, fancy cappuccino’s etc.)

* An itemized receipt showing exactly what was ordered, total paid is required

* Provide a tax exempt certificate to the restaurant, as we do not pay sales tax. I (or the Business Office) can provide you with a copy.

* Please plan ahead and see me or Sabrina prior to the scheduled meal to make arrangements if needed. If a credit card is not available, we will reimburse the eligible participants per diem.
