Center Configurations

At all times total center occupancy should by limited to no more than 50 non-sesync researchers. SESYNC is unable to comfortably host and provide logistical support for more than 50 guests at a time. (coffee, lunches, breakout space, etc).

Standard Group Load

Our standard configuration allows for up to 4 simultaneous meetings to occur at SESYNC. Breakout space in the open space provides seating for three separate groups of 6-8 and is available on a first come first serve basis.

h3. Remote Connectivity and Streaming

* All rooms support video conferencing

* Streaming of talks is possible from the Blue room.

* Due to extra equipment total blue room occupancy is limited to 24 including sesync staff.

** In order to support streaming, a half day setup *MUST
be scheduled before the start of the meeting

* GroupsMUST* provide their own personal to operate the streaming software.

* Due to technology configuration it isNOT* possible to have remote participants during a streamed event.

Large Blue Room Workshops

For larger groups, the Blue room may be configured to support up to 40 participants. Breakout space in the open space provides seating for three separate groups of 6-8 and is available on a first come first serve basis.

* Due to the number of chairs needed, the Cave may only be used for breakout space for the blue room.

* No remote participants are possible in the Blue Room due to space.

Open Space Events (Short Course, etc)

The open space can be configured for seating up to 44 and the green room is available when there are under 32 participants in the open space.

* 12 Participants in Green room

*** Only available if the main event is under 32 non-sesync guests due to available furniture

h2. Considerations

** The blue room, fishbowl, and cave must be reserved the day prior to allow for setup.

* Fishbowl and Blue room are ONLY available to the event

* Blue room will contain only couches and coffee tables

* Green room group may be space and the following taken into account:

* Groups requiring breakouts should be discouraged and small group size encouraged as they may be stuck in the green room for the entire meeting.

** The cave is available for breakout space *ONLY
if the main event explicitly does not need it and is OK with the disruption of people walking through.

* Lunch should be coordinated with both groups to ensure minimal disruption

* A podium and standing desk is available at the front

* 8 seats at the high tables in the rear

* Up to 36 chairs in a pod (6x6) configuration

h3. Screens and AV

* One screen with projector placed at the front of the

* Two 60" television screens can be placed on either side of the seating approximately 10’ back.

* Connection for up to two devices from the podium

** Single device mirrored to all three screens

* Split configuration with one device on the projector and second device mirrored on the two screens.

h3. Remote Connectivity and Streaming

* Remote connectivity to the green room is standard

* Remote connectivity to the open space is permitted with the following limitations

* Audio from the room to the remote participant is provided by a handheld mic. The event must have someone willing to help pass around a microphone

** Streaming of events is permitted with the following considerations:
